This policy applies to Alex AI, Alexandra Build Co.’s private operating assistant. It supplements our general website Privacy Policy and explains how Alex AI handles information from connected business systems, including QuickBooks Online.
Who can use Alex AI
Alex AI is an internal business tool. Access is limited to approved Alexandra Build Co. users through our private network and application authentication. It is not offered to homeowners, prospective clients, or the public.
Information we collect
When an authorized administrator connects QuickBooks Online, Alex AI may import company metadata and read-only accounting records needed for approved summaries, including invoices, document numbers, dates, amounts, balances, payment records and applications, and purchase or expense transactions. Current coverage does not represent a complete bank balance, cash-flow statement, balance sheet, tax return, or profitability report.
Alex AI may also process authorized Slack messages, application access records, connection status, synchronization history, data-freshness information, error logs, and evidence identifiers used to trace a summary back to its source.
How we use information
We use this information to synchronize authorized records, calculate deterministic operating summaries, answer internal business questions, explain source-backed results, monitor data freshness, diagnose failures, maintain security, and improve Alexandra Build Co.’s internal operations. We do not use QuickBooks data for advertising, sell it, or use it to initiate payments or move money.
AI processing and accuracy
When an authorized user asks Alex AI a question, the relevant message and a limited set of approved, structured business facts may be sent to OpenAI services to generate a response. QuickBooks OAuth credentials, application secrets, and unrestricted database access are not provided to the conversational model. AI responses can be incomplete or incorrect and must be verified against QuickBooks Online or a qualified accounting professional before financial decisions are made.
Where information is stored and processed
The Alex AI runtime operates on a dedicated Mac mini controlled by Alexandra Build Co. QuickBooks OAuth credentials are stored in that Mac’s encrypted login Keychain. Structured records and evidence are stored in a hosted Supabase database. Tailscale protects private network access, Slack provides the messaging interface, OpenAI processes authorized conversational requests, and Vercel hosts these public informational and policy pages. Each provider handles information under its own contractual and security terms.
How we protect information
We use access controls, organization-scoped database operations, encrypted network connections, restricted service credentials, local Keychain storage, device encryption, audit records, and least-privilege read tools. No security control eliminates all risk, but we limit access and the amount of data supplied to each component.
Sharing and disclosure
We share information only with service providers needed to operate Alex AI, with authorized company personnel, when required by law, or when necessary to protect our legal rights and systems. We do not sell QuickBooks data or personal information, and we do not share it with advertisers or data brokers.
Retention, disconnection, and deletion
We retain connected-system records while needed for authorized business operations, security, reconciliation, legal obligations, and reliable system recovery. Disconnecting QuickBooks stops future synchronization and revokes the connection credential. An authorized company representative may request deletion of imported data by contacting us. We will delete or de-identify information we are not legally or operationally required to retain, and residual backup copies will expire through normal backup rotation.
Your choices
An authorized QuickBooks administrator can disconnect Alex AI using our disconnect page or revoke the app from QuickBooks Online. Authorized representatives may request access, correction, export, or deletion of Alex AI data by contacting us.
Changes
We may update this policy as Alex AI’s integrations or practices change. The current version will remain available at this URL with a revised effective date.
